Google Drive Features: 10 Ways to Work Faster in 2026

Last Modified On: October 29, 2026
Google Drive’s most useful features are controlled file sharing, real-time collaboration, comments that assign tasks, voice typing, templates, sorting by storage size, advanced search, shared drives and Gemini AI summaries. Every Google account gets 15 GB free, while Google Workspace business plans add 30 GB to 5 TB of pooled storage per user.
What is Google Drive?
Google Drive is Google’s cloud storage and file-sharing service. It stores files online, syncs them across computers and phones, and lets people edit Docs, Sheets and Slides together in real time. Personal accounts are free; businesses get Drive as part of Google Workspace, which more than 11 million organizations pay for.
Google says more than 3 billion people use Workspace apps, with over 11 million paying business customers (netzstrategen, citing Google).
What are the best Google Drive features?
The ten Google Drive features that save businesses the most time are: access-controlled sharing, real-time co-editing, task assignment in comments, voice typing, templates, sorting by file size, advanced search, shared drives, offline access with Drive for desktop, and Gemini AI for summarizing files. Most work on free accounts; shared drives and full Gemini need Workspace.
1. Share files with controlled access
Share a file or folder by link or by email, and set each person as viewer, commenter or editor. On Workspace accounts you can also set an expiry date so a contractor’s access ends automatically.
2. Edit together in real time
Several people can work in the same Doc, Sheet or Slides file at once, with every change saved and a full version history to roll back mistakes.
3. Publish a file to the web
In Docs, Sheets or Slides, use File > Share > Publish to web to create a public, view-only link or embed code, handy for price lists or event pages.
4. Assign tasks with comments
Highlight text, add a comment, type @ and a colleague’s name, then tick “Assign to”. They get an email, and the task shows as theirs until it’s marked done.
5. Type with your voice
In Google Docs, open Tools > Voice typing and speak. Say “period” or “new line” for punctuation, then proofread.
6. Start from a template
Use the template gallery in Docs, Sheets, Slides and Forms for invoices, project trackers, RSVPs and surveys instead of starting from a blank page.
7. Sort files by size to free up space
Open Storage in the left menu to list files from largest to smallest, delete what you don’t need, then empty the Trash.
8. Find anything with advanced search
Click the filter icon in the search bar to narrow by file type, owner, people it’s shared with, location or date modified.
9. Use shared drives for team files
Files in a shared drive belong to the team, not one person, so they stay put when an employee leaves. Shared drives are included in Workspace plans, including Business Starter since 2023 (UC Today).
10. Ask Gemini about your files
On paid Workspace plans, the Gemini side panel in Drive can summarize documents, answer questions across your files and draft content without switching apps (TechRadar).

How much storage does Google Drive give you?
Free Google accounts get 15 GB, shared across Gmail, Drive and Google Photos. Google Workspace plans give each user pooled storage that the whole company shares: 30 GB on Business Starter, 2 TB on Business Standard and 5 TB on Business Plus, priced from US$7 to US$22 per user per month on an annual plan.
| Plan | Storage | Price (annual, per user per month) |
|---|---|---|
| Free Google account | 15 GB per account | Free |
| Business Starter | 30 GB pooled per user | US$7 |
| Business Standard | 2 TB pooled per user | US$14 |
| Business Plus | 5 TB pooled per user | US$22 |
Storage from Google Workspace’s edition comparison; prices from Google Workspace pricing and Hostraha. Pooled means 10 users on Business Starter share 300 GB, so heavy users can take more.
Is Google Drive good for business?
Yes, especially through Google Workspace. Business plans add company-owned shared drives, admin controls, a 99.9% uptime guarantee and business email for up to 300 users. For legal holds and eDiscovery you need Business Plus, which includes Google Vault. Moving to Workspace takes planning so files, permissions and email history move intact.
Comparing with Microsoft 365? OneDrive gives a flat 1 TB per user instead of a shared pool (Rework). See our Microsoft 365 page for that side.
Frequently asked questions about Google Drive
How much free storage does Google Drive have?
Every Google account gets 15 GB of free storage, shared across Gmail, Google Drive and Google Photos. Google Workspace business plans include more: 30 GB, 2 TB or 5 TB of pooled storage per user, depending on the plan.
Can you assign tasks in Google Drive?
Yes. In a Google Doc, Sheet or Slides file, add a comment, type @ followed by a colleague’s name, and tick “Assign to”. The person gets an email notification and the task stays assigned until it is marked done.
What is the difference between My Drive and shared drives?
Files in My Drive belong to the person who created them, so they can be lost when that person leaves. Files in a shared drive belong to the team or company, so access stays in place when staff change.
Does Google Drive have AI features?
Yes. On paid Google Workspace plans, Gemini appears as a side panel in Drive, Docs, Sheets and Slides. It can summarize files, answer questions about your documents and draft content. The fullest Gemini features come with Business Standard and higher plans.
Is Google Drive or OneDrive better for business?
It depends on your apps. Google Drive suits teams that work in Docs and Sheets and want storage pooled across the company. OneDrive suits teams that use Word, Excel and Outlook, with a flat 1 TB per user. Both work well for small and mid-sized businesses.
